TSheets! Time-keeping & Job Costing That Fits You to a "T"
Are you interested in getting rid of your paper or punch card time sheet? Would you like to have a simple, at-a-glance way to tell who’s working on which project and what those costs are?
We’d like to help your company be more efficient by sharing our experience with TSheets. It’s useful for any business that has two or more employees, especially those with employees in different locations, including contractors, warehouses, small businesses and anyone who needs a time sheet.
Our company began using TSheets after attending Scaling New Heights - an Intuit conference. (You probably know Intuit by their primary products, such as QuickBooks, Quicken, Mint and TurboTax.) Here’s what we like the most:
With TSheets it’s not just a punch in-and-out system twice a day. We can clock in and out for each client’s file we’re working on during the day - right on our cell phone or computer. For example, if we’re in the middle of a file for client R and we get a call from client W, we can “switch” out of R and into W to make sure we’re applying our time investment to the correct client.
AND we can enter our own notes for what we do – we don’t have to choose from a generic list of actions. As bookkeepers, we’re all about precision! Instead of “client conversation” we can say, “answered K’s questions about adding new hire to payroll; received details for un-deposited funds; scheduled next appointment for January 22.”
TSheets syncs with QuickBooks all day long! The new clients we enter throughout the day automatically get transferred. There are three major reports we use:
Payroll report – we use that when payroll hours are due. Just click a button and they import right into QB payroll! There, payroll is done.
Billing report - we use this at the end of the month when we are ready to send out our bills.. TSheets puts all the hours and the notes directly into our QB file and again - billing is ready for us. Our TSheets notes automatically show up on our monthly QB statements for clients.
Job Costing report- Think of this as a Profit and loss by Customer or Job. I run that as the owner to see where I am with my clients as far as profitability. It lets me know if we are spending too much time or not enough time on a job.
TSheets has a mobile app that makes it easy for us to be flexible about where we are. This is handy for our work-from-home days, too. We can even keep track of paid time off (PTO).
As a business owner, I appreciate the variety of reports I can use to track how we’re doing. I can sort by client (project report), by employee (time sheets), by the type of service we’re providing (service item), and numerous other options. I can also make adjustments if needed to make sure we the time we invest in our clients gives them the best value.
